Trello, Xero and Freshdesk: The Real Cost of Three Separate Tools

13 min read

For a five-person South African team with two support agents, Trello, Xero and Freshdesk cost about R 1,785 a month before VAT from 1 November 2026, when Xero's new prices start. The bigger cost is the work between them: each client lives in three places, so people re-type the same details and nobody sees the whole client. A Business OS such as Syniq keeps jobs, invoices and tickets on one client record, at R 559 a month for five users, billed annually.

Trello, Xero and Freshdesk are each good at one job. Trello is a simple job board, Xero keeps the books, and Freshdesk turns a busy support inbox into tickets. The trouble starts when one business runs all three, because they do not share a client record. This guide works through the four pain points that follow, what connecting the tools costs, and a cost comparison in rands.

Syniq makes a Business OS that does this work in one system, so we have an interest in the answer. Every price below comes from the vendor's own page, checked on 25 October 2026, and a section near the end says plainly what Syniq does not do.

How the three tools end up side by side

Few businesses plan this stack. It grows one tool at a time. The job board goes on Trello because it is free for up to 10 collaborators. Xero comes in because the accountant works in it. Freshdesk arrives when the support inbox gets too busy for one person to track. Each choice makes sense on the day it is made.

ToolWhat it holdsHow it knows the client
TrelloJobs and tasks, as cards on listsA card title or label, typed by hand: Trello has no client record of its own
XeroQuotes, invoices, bills and bank transactionsA Xero contact, with the client's address and VAT number
FreshdeskSupport tickets and help articlesA Freshdesk contact and company

So every client exists three times, typed by three people and kept up to date by nobody in particular. We have written about the wider cost of disconnected business tools; this guide prices one common stack.

Pain point 1: one client, three records

A data silo is information that one tool holds and the others cannot see. With these three tools, every client is split across three silos.

Picture a client who logs an urgent ticket on a Monday. In Freshdesk, your support person sees the ticket and the client's earlier tickets. They do not see the two invoices that are 60 days overdue in Xero, or that the client's next job sits on a Trello list with no date. So support promises a quick fix while the bookkeeper sends a final demand, and the client hears two different stories from one business on the same day.

The questions an owner asks most cross all three tools. Which clients owe us money and have open tickets? Which finished jobs have not been invoiced? Which clients take the most support time for what they pay? To answer them, someone exports from two or three tools into a spreadsheet, and the answer is out of date by the time it is ready.

Pain point 2: double entry, and the errors it lets in

Each hand-off between the tools is done by a person. In a normal month that means:

  • A new client typed three times: a Trello card, a Xero contact and a Freshdesk contact.
  • A finished job carried across by hand: the card moves to Done in Trello, and someone finds the client and the quote in Xero to raise the invoice, adding any extra work from the card.
  • A change of details made in three places: a new address, contact person or VAT number has to reach every tool.
  • Billable support time carried to an invoice, unless you install the Freshdesk app for Xero.

Every re-typed field is a chance to get it wrong, and some mistakes cost more than others:

  • A wrong VAT number. A full tax invoice above R 5,000 must show the client's VAT number if they are VAT-registered. If the number was updated in Freshdesk but not in Xero, the client gets an invoice that SARS may not accept for their input VAT claim, and asks for a new one. Our guide to SARS and VAT rules for accounting software covers what a valid tax invoice needs.
  • Work that is never billed. Nothing tells Xero that a Trello card has moved to Done. Unless someone checks every finished card against the invoices, some work is never invoiced.
  • Duplicate clients. "Acme", "ACME (Pty) Ltd" and "Acme Plumbing" are three different contacts, so a report by client no longer adds up.
  • Late invoices. When invoicing waits for someone to work through the Trello board, the money arrives later than it should.

Pain point 3: three subscriptions, priced three ways

The three tools charge in different ways, which makes the total hard to see and easy to let grow:

  • Trello charges per user, in US dollars. Standard costs US$5 a user a month billed annually, or US$6 billed monthly. Calendar and timeline views start on Premium, at US$10 a user billed annually. (Trello pricing)
  • Freshdesk charges per agent, in US dollars. Growth costs US$19 an agent a month, billed annually, and the pricing page shows no free plan. Multiple SLA policies start on Pro, at US$55 an agent. Freshworks adds South African VAT to every South African customer's bill, even when the customer is VAT-registered. (Freshdesk pricing, Freshworks VAT FAQ)
  • Xero charges per organisation, in rands, with VAT included. From 1 November 2026, Starter costs R 485 a month, Standard R 857 and Premium R 1,195. Starter covers quotes, 20 invoices and 5 bills. Xero charges no per-user licence fees, but time and cost tracking for projects is an add-on from R 120.75 a month, and expense claims from R 69. (Xero pricing, Xero's price change)

Two of the three bill in US dollars, so their rand cost moves with the exchange rate, and your bank may add a fee for paying in a foreign currency. Prices also change on each vendor's own timetable: Xero's change on 1 November 2026 adds R 35 to R 100 a month, depending on the plan. And each tool sells its next feature as an upgrade or an add-on, so the three bills tend to grow one decision at a time.

Pain point 4: switching between three tools all day

Three tools mean three logins, three search boxes and three streams of notifications. A simple question such as "has this client paid, and is their job done?" means a trip through Xero and Trello while the ticket waits in Freshdesk.

Researchers have measured what this costs. In a Harvard Business Review study of 137 people in 20 teams at three Fortune 500 companies, people switched between apps and websites about 1,200 times a day. Getting back into their work after each switch cost them just under four hours a week, about 9% of their time at work. A small business switches less than a large one, but the pattern holds: time goes on finding the work instead of doing it.

For anyone who works away from a desk, it is three apps on one phone, each with its own login and its own idea of who the client is.

Can't you just connect them?

You can connect them in part, and for some businesses that is enough. These are the options:

ConnectionWhat it doesCost
Freshdesk to XeroFreshdesk's Xero app records time logged on tickets as billable items on draft Xero invoicesFree (listing)
Freshdesk to TrelloFreshworks' Trello app creates Trello cards from tickets and links the twoPaid after a 21-day trial; the listing gives no price (listing)
Trello to XeroAn automation tool such as Zapier, Make or Relay. Zapier has a ready-made template that creates a Xero quote draft when a card moves to a listZapier's free plan runs 100 tasks a month, two steps each; Professional costs US$19.99 a month billed annually for 750 tasks (Zapier pricing)

Connections help, but they leave three problems in place:

  • The client still exists three times. An automation copies details from one tool to the next. It does not turn the copies into one record, so when a detail changes, the copies drift apart.
  • Each connection needs looking after. When a list, a field or a password changes, an automation can stop working, and the gap may only show when an invoice goes missing.
  • No connection gives one view of the client. Each link moves data between two tools. None of them gives you one record that holds a client's jobs, invoices and tickets.

Our guide to connecting business software in South Africa covers when integration is the right answer and when it is time to replace the tools instead.

What one shared client record changes

A Business OS is one system in which sales, jobs, finance and support work on the same records. The client exists once, and every team works on that one record. Syniq is built as a Business OS for service businesses, and this is how its apps line up against the three tools:

TodayIn SyniqWhat it covers
Trello boardOperationsJobs in list, Kanban and Gantt views; tasks with assignees and logged hours; documents and activity on each job; contract renewals
Xero invoicingAccountingSARS-compliant tax invoices with VAT worked out on every line; quotes, purchase orders and client statements; profit and loss, cash flow and VAT summary reports built from your bank lines and invoices
Freshdesk ticketsSupportTickets with a priority, category and assignee; a knowledge base; customer satisfaction scores; custom ticket fields; issue sync with Jira

The hand-offs that needed a person now happen on the record:

  1. A lead becomes a client account and a deal in one step.
  2. The quote is built on the deal. When the client accepts it, the invoice is generated from the quote's lines.
  3. The delivery job is created from the deal, for the same client. If you bill when the work is done, marking the job complete drafts its invoice for that client.
  4. Tickets are logged against the client's account. The client's profile shows their deals, jobs, invoices, tickets and contacts together, and each tab shows only what a person's role allows.
  5. Overdue invoices and urgent tickets show up as alerts on the executive dashboard.

Back to Monday's urgent ticket: whoever picks it up opens the client's profile and sees the overdue invoices and the waiting job on the same page.

What Syniq does not replace

Check the fit before you move. Syniq is the weaker choice in these cases:

  • Your customers email or WhatsApp you for support. Syniq Support has no email or WhatsApp inbox and no SLA timers. Your team logs each ticket on the client's record; customers cannot email a ticket in. If your support runs through a shared inbox, keep a help desk: our help desk guide compares the options.
  • Your accountant needs full accounting software. Syniq has no balance sheet or trial balance, and its reports are built from bank lines and invoices. Xero is full accounting software, and Syniq does not sync with Xero or Sage: it syncs both ways with QuickBooks Online. Talk to your accountant before you move your invoicing, and see Syniq and Xero compared feature by feature.
  • Your team is larger than five. The Business plan covers five users. Beyond that, Syniq is Enterprise, quoted per seat, so the comparison below changes.
  • You use Trello for more than client jobs. Syniq Operations is built around client jobs, tasks and renewals. It has no Power-Ups and no automation engine, and a content calendar or a personal to-do list may sit better on Trello's free plan.

The cost comparison, in rands

Take a five-person service business. All five work from the job board, two of them also answer support tickets, and the business sends more invoices than Xero Starter's limit of 20, so it is on Xero Standard. Prices are each vendor's own, with Xero's from 1 November 2026, and US dollar prices are converted at R 16.50.

ToolPlanListed priceA month, before VAT
TrelloStandard, 5 usersUS$5 a user, billed annuallyR 413
FreshdeskGrowth, 2 agentsUS$19 an agent, billed annuallyR 627
XeroStandardR 857, VAT includedR 745
Three toolsR 1,785
SyniqBusiness: 5 users, all six appsR 559, billed annuallyR 559

Syniq costs R 1,226 a month less: R 6,708 a year against R 21,420 for the three tools, a saving of R 14,712 a year.

The table leaves out VAT, so it compares like with like for a VAT-registered business, which claims the VAT back. Syniq is not VAT-registered, so it adds no VAT to its price. A business that is not VAT-registered cannot claim back the VAT that Xero includes and Freshworks adds, so it pays at least R 1,991 a month for the three tools: R 857 for Xero, R 721 for Freshdesk and R 413 for Trello, plus any tax Trello charges for South Africa.

Three other cases change the numbers:

  • Connecting Trello to Xero with Zapier Professional adds about R 330 a month (US$19.99, billed annually).
  • On monthly billing, Trello Standard costs R 495 a month for five users and Syniq Business R 699. Freshdesk's pricing page shows only annual prices.
  • For a one-person business, Syniq Professional costs R 159 a month, billed annually, for all six apps. Trello's free plan with Xero Starter costs R 422 a month before VAT (R 485 with VAT). If you only need jobs and invoices, Syniq Starter covers any two apps for R 47 a month, billed annually.

The time between the tools

Subscriptions are the smaller cost. This example counts the hand-offs from pain point 2 in one month; replace the volumes and minutes with your own.

Total8.3

At R 177 an hour, 8.3 hours cost about R 1,470 a month. The hourly figure is Stats SA's average monthly earnings of R 30,611 for May 2026 (Quarterly Employment Statistics), divided by the 173 hours a month of a 40-hour week. It leaves out what an employee costs beyond their pay.

In Syniq, the first two rows go away. The client is entered once, and the invoice comes from the accepted quote or the completed job on the same record, so nobody searches another tool for it. You still check each invoice before it goes out, as you would in Xero. The last two rows get shorter, because the client's jobs, invoices and tickets sit on one profile. Counting only the first two rows, the example saves 4.3 hours a month, worth about R 760.

Together that is about R 2,000 a month, or about R 24,000 a year, before you count the shorter look-ups and month-end checks. See every Syniq plan.

How we checked these figures. We read every vendor price on the vendor's own page, linked above, on 25 October 2026. US dollar prices are converted at R 16.50, near the rate Trading Economics showed on 23 October 2026 (R 16.58); your bank's rate and fees will differ. Xero's prices include VAT, so we took out 15% to compare them before VAT. Syniq's prices are its published plan prices.

Moving from three tools to one

  1. Check the gaps first. Go through the list above with your accountant and whoever runs support. If either of them needs something Syniq does not do, keep that tool.
  2. Bring your clients across. Export your contacts from Xero as a CSV file, head the client column "name" and import the file into Syniq. Clients you already have are skipped.
  3. Start new work in Syniq. Open new jobs in Operations and log new tickets in Support. Syniq does not import Trello boards or Freshdesk tickets, so finish the jobs already on your board there, or re-create the open ones.
  4. Choose a date for invoicing. From an agreed date, such as the start of a VAT period, send new quotes and invoices from Syniq, and keep past periods in Xero or with your accountant.
  5. Cancel at renewal. Trello and Freshdesk annual plans run to their renewal date, and Xero bills monthly, so time each cancellation to the end of the period you have paid for. Export what you need to keep, such as ticket history, first.

Starter, Professional and Business start with a 14-day free trial, with no credit card. Start a free trial and run one client's job, invoice and tickets through Syniq before you move the rest.

Frequently asked questions

Does Trello integrate with Xero? Through an automation tool such as Zapier, Make or Relay. Zapier, for example, has a ready-made template that creates a Xero quote draft when a Trello card moves to a list. Each automation is one more thing to set up, pay for and keep working.

Does Freshdesk integrate with Xero? Yes. Freshdesk's free Xero app records time logged on tickets as billable items on draft Xero invoices. The client still has a separate record in each tool, so a change to their details has to be made twice.

How much do Trello, Xero and Freshdesk cost together? For five Trello users, two Freshdesk agents and Xero Standard, about R 1,785 a month before VAT from 1 November 2026: R 413 for Trello Standard and R 627 for Freshdesk Growth, both billed annually in US dollars and converted at R 16.50, and R 745 for Xero (R 857 with VAT).

Can Syniq replace Trello, Xero and Freshdesk? For a service business of up to five people that runs client jobs, invoices from quotes and logs its own tickets, yes: Syniq's Operations, Accounting and Support apps share one client record. It is the weaker choice if customers email tickets in or your accountant needs full accounting software, because Syniq has no email inbox, no balance sheet and no trial balance.

Does Syniq sync with Xero? No. Syniq syncs both ways with QuickBooks Online, not with Xero or Sage. To move from Xero, import your clients from a CSV file and keep past periods in Xero or with your accountant.

Is Syniq cheaper than Trello, Xero and Freshdesk together? In the five-person example, yes: Syniq Business costs R 559 a month, billed annually, for five users and all six apps, against about R 1,785 before VAT for the three tools. Syniq is not VAT-registered, so it adds no VAT.
